Position Summary:
The part-time Administrative Assistant will be responsible for supporting the day-to-day operations of the office to improve the efficiency and effectiveness of the organization’s operations, including, but not limited to, receiving and serving visitors, maintaining office space and functionality, handling mail, and managing supplies and merchandise.

Reporting to: Chief Operating Officer

Main duties and responsibilities:
• Greet and receive visitors and deliveries, and keep common areas clean, including the reception and conference room.
• Respond to emails with general inquiries and forward them to the appropriate person as needed.
• Handling incoming and outgoing mail
• Process credit card payments, fulfill online product orders, and provide credit card processing support for online and in-person sales.
• Maintaining official records and documents, minutes and important documents in accordance with the record keeping policy.
• Management and maintenance of office equipment and utilities, including printers, copiers, telephone system, electricity, mail machines and alarm systems.
• Order and maintain enough office and kitchen supplies.
• Provide support for committee and board meetings, including maintaining paperwork and lists of board members and helping organize meetings.
• Be familiar with Houston Audubon operations, shelters and programs.
• May be required to perform other job duties as requested by the manager or chief executive.

Qualifications, skills and abilities:
• Associate degree or higher; plus at least one or more years of experience in an administrative support role in a professional office environment
• Organized, attention to detail and ability to multi-task
• Excellent oral and written communication skills with a commitment to customer service
• Knowledge of Microsoft Office software, including Word, Excel and Outlook.
