Artist Boat is looking for an accountant

Title: Accountant (full charge)
FLSA status: exempt from wages
Reporting to: Executive Director
Salary: $42,500 – $55,000 (Depending on experience and skills, with time to be promoted to a fully paid accountant and manager)

Main functions: The accountant is responsible for assisting the chief executive and the accounting firm in managing the finances of the organization by ensuring that accounting functions and records are performed on a daily, weekly, monthly, quarterly and yearly basis to maintain a good reputation among staff, trustees, government agencies, board members, donors and creditors/ suppliers. The accountant must have a formal and solid foundation in accounting principles, best management practices/standards in financial management, and non-profit accounting versus profit accounting. The purpose of this position is to provide a financial accounting infrastructure to provide prompt monthly reporting on the status of grant/contract budget tracking, fundraising campaigns, organization’s total budget versus actual, payroll and benefits, loan accounts and loans, and the status of reconciliations. accounts. The Accountant reports to the Executive Director. Must have intermediate skills in Quick Books Online and Excel and payroll. Must be able to work with an external accounting firm to ensure proper financial management of the Artist Boat.

The ideal candidate should possess the following qualities and personal qualities:
• A minimum of 5 years of professional experience in a non-profit organization or small firm.
• High level of detail, exceptional organization, including meticulous record keeping for legal and financial administration, and reporting to public and private funders.
• Passionate commitment to any task that should not be too small or too big for mission-oriented environmental and arts programs through accounting functions (examples of small transactions are copying transactions weekly for grant binders, filing or sweeping the floor; examples of too large help make decisions during natural disasters and are always ready to ensure the continuation of the financial process).
• Demonstrated exceptional project management skills; Ability to stick to a due date calendar, ability to prioritize, plan tasks and manage multiple projects at the same time; clear focus on meeting deadlines and delivering high quality work (examples include grant billing and reimbursement, federal and state reports, payroll).
• Experience with Mac OS, enhanced QuickBooks Online, and experience with CRM plus, MS Office Suite (particularly Excel and Word), databases, and web research.
• Willingness to be certified as a non-profit finance and/or accounting and non-profit organization.

Main functions and main responsibilities:
• Tracking (properly coding) donations, grant related expenditures within grant and contract budgets, and monthly financial reporting of grant and contract reimbursement.
• Reconcile, enter, and pay expense reports and expense requests weekly.
• Perform all required bookkeeping/accounting functions, including managing accounts payable and receivable, preparing reconciliations to verify bank statements and credit card accounts.

• Maintaining financial records and separate copies/records of grant projects in grant/project folders and working with program coordinators or operations director.
• Assist the accounting firm and CEO in preparing monthly financial statements for employees, committees, board of directors and trustees.
• Coordination with an external accounting firm in the preparation of the annual IRS information report (990 and Audit)
• Prepare quarterly and annual IRS payroll tax returns, Texas quarterly payroll reports, and other required government filings.
• Have any accounting records reviewed and approved by an accounting firm assisting with monthly reconciliations.
• Handle payroll and employee benefits
• Working with the Executive Director and members of the Finance Committee to implement best practices and accounting functions.
• Coordinate with program coordinators and directors of acquisition needs and proper tracking of costs and reimbursements.
• Create and maintain a professional atmosphere among employees in the office.

• Understand and adapt to the limitations of guidelines on grants, financial resources, and the diverging goals of education partners and arts or natural resources funding sources.
• Work and enjoy a vibrant and dynamic (sometimes stressful) environment.

• Maintain complete confidentiality and use analysis, wisdom, experience and judgment to assist the Executive Director in financial matters relating to employees.
• Act independently and maintain good relations with all parties.

Communication / interpersonal skills:
• Persuasively communicate the mission and programs of the Artist Boat to promote investment and partnerships.
• Maintain and build effective and proactive relationships with staff, board of directors, partners, sponsors and the general public.
• Work effectively and maintain composure under stress.

Working conditions / physical activity:
• Focus on priority tasks in a busy office.
• Work as needed to meet deadlines, update accounting records monthly, provide training, work with the CEO and document standard operating procedures.
• Stay available to communicate using your personal mobile phone.
